How are student GMail accounts & passwords created?

The process goes like this:

  1. A student is registered into Synergy. They have no EMail address.

  2. Every night, Classlink Roster Server reads the info and generates an email address for the student.

    1. First it takes the student’s preferred first name, and removes any spaces or symbols.

    2. Next it adds a . (period).

    3. Next it takes the student’s preferred last name and removes any spaces or symbols.

    4. Finally it adds @student.philomath.k12.or.us

    5. (Students with accented character in their name need to have a preferred name added with no accents. E.g. Tré -> Tre)

Here’s an example:

     First Name: Ma'Aké

     Middle Initial: Q

     Last Name: St. Joseph-Capp

     SDBN: 00123456

     Preferred First Name: Ma'Ake

     EMail: MaAke.StJosephCapp@Student.Philomath.k12.or.us

     Username: StjoMaakQ

  1. Classlink Roster Server sends the info to OneSync, which creates a Google Account.

    1. The password is First Initial + Last Initial + SDBN (without leading zeroes)

    2. So Ma'Aké’s password would be MS123456


  1. OneSync sends the student’s EMail address to Synergy.

  2. Early the next morning, Synergy reads the info from OneSync and adds the EMail to the Student’s profile.



FAQ:


Q: What if the student has an accented character in their name, but no preferred name entered without it?

A: The student’s EMail will fail to be created. They will not be able to log in to anything.


Q: Can you change the Student’s preferred name?

A: The tech dept. Does not have the power to modify any student data in Synergy. The Registrar at each school will need to do so.


Q: How long after the preferred name is entered will that student’s account be created?

A: Typically 24 hours, at least overnight.


Q: What happens if someone does enter an EMail for the Student in Synergy?

A: If it’s correctly formatted, their account will be ready to go an entire day earlier.

If it isn’t, it will be overwritten the next day. Some services, like Canvas, may not work until then.


Q: What happens if a Student changes their preferred name in the middle of the school year?

A: The old EMail address will be added as an alias, so they can still receive EMail sent to it. The old email account will be renamed to match the new name, and they won’t lose any EMails or data.
